Job Description

We’re looking for a Contracts Administrator to support the Hot Topic Licensing team—someone who’s got an eye for detail and thrives in a collaborative environment. The Licensing department (and this position) supports all three Hot Topic brands: Hot Topic, BoxLunch, and Her Universe. In this role, you’ll help coordinate the Licensing team’s contracts, administer each contract from deal memo to execution, and tackle other administrative tasks as needed.

Pay range is $28.85-33.65/hr.

WHAT YOU'LL DO

  • Support the deal process for all contracts, providing updates at each stage, including negotiation, execution, follow-ups, and data entry.
  • Maintain the contracts database and stay organized with all related records.
  • Assist with contract-related inquiries, such as pulling contracts or checking expiration dates. Move deals forward and track accordingly.
  • Review and revise Non-Disclosure Agreements (NDAs) and basic contracts.
  • Lead weekly meetings with the Legal team to provide updates on contract status.
  • Work cross-functionally with other teams to ensure that guarantees are met and stipulations in agreements are adhered to
  • Additional duties as assigned

ADDITIONAL COMPLIANCE DUTIES:

  • Help maintain compliance documentation, including vendor agreements, testing reports, FAMAs, Manufacturer agreements, and audit records.
  • Support the coordination of facility audits and follow up on missing or expired reports.
  • Update and manage compliance tracking tools to ensure accuracy for team reference.
  • Respond to routine compliance-related inquiries and escalate complex issues as needed.
  • Collaborate with internal teams to ensure all compliance data is current and accessible.

WHAT YOU'LL NEED

  • 1+ years of experience in contract administration or similar administrative roles.
  • Ability to read, analyze, and interpret complex documents.
  • Strong clerical and computer skills (Word, Excel & Outlook). 
  • Excellent communication skills, including ability to work in a team environment.
  • Excellent organizational skills and attention to detail. 
  • Self-starter and excellent follow up skills.
